Privacy policy

What personal data Transcript Dock collects, why, who processes it and how long it is kept.

This policy explains what personal data VOLODS LTD, trading as Transcript Dock (the data controller) collects when you use Transcript Dock, why, and how long it is kept. Effective 15 September 2026.

What we collect#

  • Account data: email address, password hash (held by Supabase Auth), and the workspace settings you choose.
  • Usage data: API requests, job records, credit and caption usage, IP address and user agent for rate limiting and abuse prevention, and error logs.
  • Content you submit: video URLs, uploaded audio, and the transcripts we produce from them.
  • Billing data: payments are processed by Stripe. Stripe holds your card or other payment details; we receive your Stripe customer id, plan, billing period and payment status, never full card numbers. Plans bought in our iPhone or Android app are paid through Apple or Google; RevenueCat passes us the product, subscription period, status, store transaction id, country and price, never your payment details.
  • Answers you choose to give: the optional welcome questions (how you heard about us, what you use Transcript Dock for, which platforms and which parts of the product) and, if you cancel a plan, the reason you pick and any comment you add. We use them to improve the product.

Why we use it#

To run the Service you asked for, to bill you, to keep the Service secure and within its limits, to answer support requests, and to send account emails such as verification, receipts and material changes to terms. We do not sell personal data and do not use your content to train models.

Who processes it#

  • Google Cloud (uploads storage)
  • Cloudflare (DNS)
  • AssemblyAI (AI transcription of audio from links and uploads; audio is deleted from our storage after processing)
  • Stripe (payments, invoices and receipts)
  • RevenueCat (App Store and Google Play subscriptions bought in the mobile app)
  • Resend (transactional email)

Retention#

Transcripts and uploads are kept for your plan's retention period (7 days on trial, 30 or 90 days on paid plans) unless you delete them sooner. Account and billing records are kept while your account exists and for as long as tax law requires afterwards. Logs are kept for 30 days.

Your rights#

You can export or delete your transcripts from the dashboard or API at any time, and delete your whole account from settings. You may ask us to access, correct or erase personal data we hold by emailing support@transcriptdock.com; we answer within 30 days. If you are in the EU or UK you also have the right to complain to your data protection authority.

Cookies#

The dashboard uses a session cookie to keep you signed in and a preference cookie for your theme. We do not use advertising or cross-site tracking cookies. To count page views we use Vercel Web Analytics, which sets no cookies and does not identify you.
